Mailing lists allow you to send a single email to a group of subscribers. cPanel uses Mailman to manage mailing lists, providing features like subscription management, message archives, and moderation.
Please note: Screens and options may vary slightly depending on your cPanel version and hosting plan.
When You Would Use This
Use mailing lists for newsletters, announcements, or group discussions where multiple people need to receive the same messages.
Creating a Mailing List
- Log in to your cPanel account.
- In the Email section, click Mailing Lists.
- Enter the List Name (e.g. "announcements" will create [email protected]).
- Select the Domain.
- Set a Password for the list administrator.
- Choose whether the list is Private (invitation only) or allows public subscription.
- Click Add Mailing List.
Managing Your Mailing List
After creating a list, click the list name or the Manage link to access the Mailman administration interface. From here you can:
- Add/remove subscribers — Go to Membership Management > Mass Subscription to add addresses in bulk, or Mass Removal to remove them.
- Moderate messages — Under Privacy Options > Sender Filters, you can hold messages from non-members for moderation.
- Set a welcome message — Customise the message new subscribers receive when they join.
- Enable/disable archiving — Control whether past messages are archived and accessible to members.
- Configure digest mode — Allow subscribers to receive a summary of messages rather than individual emails.
Subscribing and Unsubscribing
Subscribers can manage their own subscription by visiting: https://yourdomain.com/mailman/listinfo/listname
This page allows users to subscribe, unsubscribe, and update their delivery preferences.
Tips
- Always include clear unsubscribe instructions in your list messages — this is a legal requirement in many jurisdictions (e.g. GDPR, CAN-SPAM).
- For large mailing lists, stagger delivery to avoid hitting sending limits or being flagged as spam.
- If you only need to send to a small group, email forwarders or a group alias may be simpler than a full mailing list.
- Mailing lists are best suited for discussion groups, newsletters, or organisational announcements.
What Next?
- Setting Up Email Forwarders — A simpler alternative for small groups.
- Managing Spam Filters — Ensure list messages aren't flagged as spam.
